Prospect's substatuses in Woodpecker

Substatuses allow you to tag or label prospects in more detail at the campaign level. A substatus can be assigned per prospect, per campaign.

Thanks to substatuses, you will be able to specify conditions for workflows in more detail. The aim is to enhance the usability of the workflow function in campaigns, allowing prospects to be automatically assigned to subsequent campaigns based on their status, substatus, or Interest Level.

There are a few default substatuses to use, and you can also create some custom ones from the dropdown in the Inbox tab and Prospects tab in campaign view. The substatus can only be assigned manually and can be done from three places in the App: the Inbox, Prospects tab in the campaign's Stats view, and the Prospects step when editing the campaign and its workflow.


Inbox

You can assign a substatus to any prospect that has appeared in your Inbox tab and is assigned to a campaign. So, for example, prospects with a “Blacklisted” status and a “#SECONDARYEMAIL” tag can’t be assigned the substatus unless they are assigned to a specific campaign.

As mentioned earlier, one substatus can be assigned per campaign, so a prospect may have multiple substatuses if they are in more than one campaign.

You can select a substatus from the default list or add a new one directly in the Inbox tab by clicking on the “Add substatus” option.

If you have a few substatuses assigned to one prospect, you’ll see a list of all campaigns they are in, along with their statuses, substatuses, interest level, and the date of a response.

Prospects can be moved to a campaign manually from the Inbox tab – simply click on the “Move prospect to campaign” in the message window and choose the campaign name from the dropdown list.

You will be informed of the successful or unsuccessful move to a campaign.

When the prospect is moved to a different campaign, they are moved with the “Active” status assigned to them. If such a campaign is running, they will be contacted again from it.


Prospects tab in a campaign

The changes made in the Inbox tab will be reflected in the Prospects tab of your campaign and vice versa. You can assign a substatus from a default list, or choose to add a new one by clicking on the “Add substatus” option.

If you decide to change the substatus here, it will also be changed in the Inbox.


Workflows

If a workflow is set up in the campaign, the prospect can be moved between campaign A and campaign B only once.

You can either set up a workflow with the Prospect status, Prospects status and Interest Level, or a Prospects substatus. It is not possible to combine them in any other way.

When setting up a workflow based on the Prospect substatus, select the substatus name from the list saved in your Company settings, and then choose to which campaign the prospect should be moved if it is assigned this substatus.
