In outbound outreach, it&#8217;s crucial how many of the <span id=\"urn:enhancement-17b716a8\" class=\"textannotation disambiguated wl-thing\">emails<\/span> you sent actually get to your prospects&#8217; inboxes.<\/p>\n<p>There are at least 14 points on a deliverability checklist that you can, and should, go through before you start off your Woodpecker <span id=\"urn:enhancement-bd236931\" class=\"textannotation disambiguated wl-thing\">email<\/span> campaign. I&#8217;ve listed them below in three categories. Some of them you may already know of, but some may be new for you. Check the list and see if you&#8217;re doing everything you can to ensure that your <a href=\"https:\/\/woodpecker.co\/blog\/how-to-write-a-cold-email-that-actually-works-six-step-tutorial\/\">cold <span id=\"urn:enhancement-9642fcf8\" class=\"textannotation disambiguated wl-thing\">emails<\/span><\/a> actually get to their destination.<\/p>\n<h2>Email configuration<\/h2>\n<p>The configuration of your <span id=\"urn:enhancement-db354b3c\" class=\"textannotation disambiguated wl-thing\">email<\/span> server and <span id=\"urn:enhancement-a833fd1e\" class=\"textannotation disambiguated wl-thing\">email<\/span> account is an important factor that affects cold email deliverability. It&#8217;s also a factor that many email senders ignore from the very beginning. You can&#8217;t afford to ignore that if you want your outbound outreach to go smoothly without any bottlenecks. Check what to pay attention to.<\/p>\n<h3 id=\"separate\">1) Set up a separate email account for outbound<\/h3>\n<p>You&#8217;re sending various <span id=\"urn:enhancement-d8f05077\" class=\"textannotation disambiguated wl-thing\">emails<\/span> from your main business email account (<span id=\"urn:enhancement-c78ff9ba\" class=\"textannotation disambiguated wl-thing\">emails<\/span> to your co-workers, friends, customers, partners, etc.). Your entire team is also sending <span id=\"urn:enhancement-85a8dc0c\" class=\"textannotation disambiguated wl-thing\">emails<\/span> using their addresses on the same domain (alice@yourcompany.com, bob@yourcompany.com, everyoneelse@yourcompany.com).<\/p>\n<p>The truth is,\u00a0you can&#8217;t entirely control either the number or the quality of all\u00a0<span id=\"urn:enhancement-af238e65\" class=\"textannotation disambiguated wl-thing\">emails<\/span> coming out from your company regular <span id=\"urn:enhancement-b4a20999\" class=\"textannotation disambiguated wl-thing\">email addresses<\/span> on your regular company domain. And if you aim at top-notch deliverability scores in outbound, this is one of the top things you need to be able to control <span style=\"font-weight: 400;\">\u2013<\/span> the reputation of your domain and IPs.<\/p>\n<p>That&#8217;s why, the most experienced outbound <span id=\"urn:enhancement-52616b77\" class=\"textannotation disambiguated wl-thing\">email<\/span> senders set up a separate company domain, and <span id=\"urn:enhancement-7eeb9369\" class=\"textannotation disambiguated wl-thing\">email<\/span> addresses on this domain, which can be used exclusively for outbound <span id=\"urn:enhancement-786278af\" class=\"textannotation disambiguated wl-thing\">email<\/span> campaigns.\u00a0Having done\u00a0so, you have a full control over the number and the content of the <span id=\"urn:enhancement-8820832\" class=\"textannotation disambiguated wl-thing\">emails<\/span> coming out from your outbound mailboxes, and you can easily adjust the sending settings in case you exceed quotas.<\/p>\n<p>Additionally, doing outbound you need to be prepared not only for successful campaigns but also for some failures. You&#8217;ll be experimenting and testing a lot. With that\u00a0in mind, you&#8217;d rather want\u00a0to avoid risking the reputation of your main company domain. What does that mean? The trick is to start sending a very small number of <span id=\"urn:enhancement-e0479dbc\" class=\"textannotation disambiguated wl-thing\">emails<\/span> from them, at various times of the day, and ideally also reply to some of those <span id=\"urn:enhancement-d079a05d\" class=\"textannotation disambiguated wl-thing\">emails<\/span>. Just start using the outbound-dedicated accounts just as you&#8217;d normally do with a freshly set up <span id=\"urn:enhancement-e2444a9f\" class=\"textannotation disambiguated wl-thing\">email<\/span> account.<\/p>\n<p><span style=\"font-weight: 400;\">You can also automate the process with the warm-up add-on that is at least 5x cheaper than other warm-up tools. It helps you build a strong email reputation and ensure that your emails end up in the primary inbox and not in the SPAM folder. Start slow, like ~5, then ~10, then ~20, then ~30, then ~50 <span id=\"urn:enhancement-46c99e00\" class=\"textannotation disambiguated wl-thing\">emails<\/span> a day. Gradually add a few <span id=\"urn:enhancement-a9f6606b\" class=\"textannotation disambiguated wl-thing\">emails<\/span> daily,\u00a0until you get to the planned number of <span id=\"urn:enhancement-a0f9c5a9\" class=\"textannotation disambiguated wl-thing\">emails<\/span>.<\/p>\n<p>But try never\u00a0to go over 50-100 emails from one address a day, anyway. Remember that you&#8217;ll need some of your optimal sending capacity for the follow-ups. It&#8217;s not really about quantity, but rather about quality. More about that later in this post.<\/p>\n<h3 id=\"verify\">3) Verify the reputation of your domain and IP<\/h3>\n<p>This is one of the crucial\u00a0things to check, and a process to be described in a separate post coming soon.<\/p>\n<p>In a nutshell, there are several free tools available on the web that allow you to assess\u00a0the reputation of your domain and the IP of your SMTP server (the server that sends your <span id=\"urn:enhancement-41abc6df\" class=\"textannotation disambiguated wl-thing\">emails<\/span>).<\/p>\n<p>For instance, you can paste your domain or IP at <a href=\"https:\/\/talosintelligence.com\/\">Talos<\/a>\u00a0to check, if its reputation is good, neutral, or bad. It will also show you, if your SMTP IP or domain have been classified in the right web category, e.g.\u00a0Business and Industry. You&#8217;ll get much more information from\u00a0Talos if you paste your IP, so if only you&#8217;re able to get that number, have it checked.<\/p>\n<p>If you&#8217;re not sure how to get the IP of your SMTP server, consult your developer or admin, or <a href=\"https:\/\/woodpecker.co\/contact\">contact our support team<\/a> for help.<\/p>\n<h3 id=\"spf\">4) Set your SPF &amp; DKIM<\/h3>\n<p>Those are two records you need to add to your email server configuration to make sure you won&#8217;t look like a spammer to other email servers. Here&#8217;s a full post on <a href=\"https:\/\/woodpecker.co\/blog\/cold-email\/spf-dkim\/\" target=\"_blank\" rel=\"noopener noreferrer\">what SPF and DKIM actually are<\/a> (explained in simple words). Make sure you read it and try to set it up. If you&#8217;re not a tech-savvy person, contact your <span id=\"urn:enhancement-8d88eeeb\" class=\"textannotation disambiguated wl-thing\">email<\/span> provider and ask them for help with setting this up. If you&#8217;re a Woodpecker user, you can, of course, ask our support team to help you figure this out.<\/p>\n<p>As a Woodpecker user you may also check if your <span id=\"urn:enhancement-d0914240\" class=\"textannotation disambiguated wl-thing\">SPF<\/span> and <span id=\"urn:enhancement-4b80ac3c\" class=\"textannotation disambiguated wl-thing\">DKIM<\/span> records are set up correctly &#8211; and you can do so directly in the app. Just go to SETTINGS &gt; <span id=\"urn:enhancement-9dd14efa\" class=\"textannotation disambiguated wl-thing\">EMAIL<\/span> ACCOUNTS &gt; DELIVERABILITY (on the left-hand side).<\/p>\n<h3 id=\"limits\">5) Check your email provider limits<\/h3>\n<p>Each <span id=\"urn:enhancement-51530664\" class=\"textannotation disambiguated wl-thing\">email<\/span> provider provides its own hourly and daily limits for the number of sent messages. If you exceed those limits, your account gets blocked, usually at least for a couple of hours. In some cases, your mailbox may be blocked for good.<\/p>\n<p>For instance, Gmail has established different daily sending limits for free mail accounts and paid accounts within the Google Apps for work. But this is just one <span id=\"urn:enhancement-b976fe27\" class=\"textannotation disambiguated wl-thing\">email<\/span> provider. They may also irritate your recipients. Both the filters and the recipients can mark your messages as spam. If many of them do that, you can end up on a blacklist. That&#8217;s why it&#8217;s crucial to send quality messages and avoid some tactics that may resemble spammers&#8217; activities.<\/p>\n<h3 id=\"spamwords\">6) Check for spam words<\/h3>\n<p>None of the parts of your <span id=\"urn:enhancement-c8cd63a8\" class=\"textannotation disambiguated wl-thing\">email<\/span> should include\u00a0words that usually appear in spammy <span id=\"urn:enhancement-e98426fb\" class=\"textannotation disambiguated wl-thing\">email<\/span> offers. Just be careful with salesy language and expressions. Don&#8217;t try to sell in any of your cold emails or follow-ups. Keep the emails in a personal tone. Do you email your friends using expressions\u00a0like: &#8220;<em>once in a lifetime occasion&#8221;<\/em>, &#8220;<em>special offer&#8221;<\/em>, &#8220;<em>one hundred percent free&#8221;<\/em>? I honestly doubt it.<\/p>\n<p>But these are just flagship examples. The lists of spam triggering expressions include items that you would never expect to have a negative influence on your email deliverability. It&#8217;s more about the frequency of such words in your messages. There&#8217;s certainly a way to describe your product or service in a non-<em>salesy<\/em> way. Try to show the real value. In your <a href=\"https:\/\/woodpecker.co\/blog\/cold-email\/value-proposition-how-to-tell-my-addressee-what-i-want-from-them\/\" target=\"_blank\" rel=\"noopener noreferrer\">value proposition<\/a>, try to briefly, yet specifically, answer the question &#8220;what&#8217;s in it for your recipient?&#8221;<\/p>\n<h3 id=\"personalization\">7) Add personalization<\/h3>\n<p><a href=\"https:\/\/woodpecker.co\/blog\/cold-email\/3-steps-to-personalized-cold-emails\/\" target=\"_blank\" rel=\"noopener noreferrer\">Personalization<\/a> plays an important role in boosting deliverability for two reasons:<\/p>\n<p><strong>One:<\/strong> Well-personalized emails are more prospect-oriented. They don&#8217;t sound selfish and annoying to the recipient. Everyone likes to read about themselves. Everyone is interested in what other people have to say about their work. Especially, if it&#8217;s something good. If you get your prospects genuinely interested in your email, they won&#8217;t be very likely to mark your message as spam. On the contrary, they will be more open to respond to you and continue the conversation.<\/p>\n<p><strong>Two:<\/strong> Personalization makes every email look a bit different, even if they are all based on the same email template. If all your emails look exactly the same, and you send hundreds of them in a short time, you alarm the anti-spam mechanisms, and your account may get blocked by your email provider.<\/p>\n<p>Most email automation tools provide a system for merging some custom information from your contact base into your email template. In <a href=\"https:\/\/Woodpecker.co\" target=\"_blank\" rel=\"noopener noreferrer\">Woodpecker<\/a>, we call them &#8216;custom fields&#8217; or &#8216;snippets&#8217;. Except for standard fields like <em>first name<\/em>, <em>website<\/em>, <em>company name<\/em>, <em>title<\/em>, <em>industry<\/em>, you can insert even <em>whole sentences or paragraphs<\/em> previously prepared in your contact base, if you aim at highly personalized outreach.<\/p>\n<p>If you have no idea what to put in a snippet, <a href=\"https:\/\/woodpecker.co\/blog\/cold-email\/mail-merge-custom-fields\/\" target=\"_blank\" rel=\"noopener noreferrer\">check out my guide &gt;&gt;<\/a><\/p>\n<h3 id=\"opens\">8) Don&#8217;t track links and opens if you don&#8217;t need to<\/h3>\n<p>Here&#8217;s how it works: to check whether your prospect opened an email or not, a micro image gets attached to your message. If the recipient allows displaying images, the 1-pixel image gets opened when the email gets opened, and the tool that tracks opens gets the information that this has happened.<\/p>\n<p>Tracking links actually changes your native link into another one, usually on another domain than the original link you put in your email. When your recipient clicks the link, they first get into the tracking address, and then they get immediately redirected to the original address you wanted them to go\u00a0to. Links that redirect the recipient to another place look suspicious to anti-spam mechanisms.<\/p>\n<h3 id=\"links\">9) If you track links, do it right<\/h3>\n<p>Because of the nature of the link tracking process described above, if you really need to track links in your cold emails, you need to do it right. Additionally, keep in mind that too many links will distract your prospects&#8217; attention from the <a href=\"https:\/\/woodpecker.co\/blog\/cold-email\/perfect-cta-or-how-to-end-up-my-cold-email\/\" target=\"_blank\" rel=\"noopener noreferrer\">CTA<\/a>. If you want to see replies, you can&#8217;t get them distracted or confused.<\/p>\n<h3 id=\"simple\">10) Keep the form of the email as simple as possible<\/h3>\n<p>I mean, don&#8217;t try to make it look\u00a0fancy by adding html templates, pictures, gifs, colorful fonts, and other fireworks. Plain text emails look more natural to spam filters, that measure the text-to-html ratio and pic-to-text ratio. If your email has less plain text than everything else, it looks suspicious and may get into spam.
