{"id":22957,"date":"2023-11-13T12:23:30","date_gmt":"2023-11-13T11:23:30","guid":{"rendered":"https:\/\/woodpecker.co\/blog\/?p=22957"},"modified":"2025-01-21T10:13:11","modified_gmt":"2025-01-21T09:13:11","slug":"using-a-culture-map-to-guide-your-cold-email-journey","status":"publish","type":"post","link":"https:\/\/woodpecker.co\/blog\/using-a-culture-map-to-guide-your-cold-email-journey\/","title":{"rendered":"Using a Culture Map to Guide Your Cold Email Journey"},"content":{"rendered":"<p><span style=\"font-weight: 400;\">An American tourist goes into a travel agency in Japan and says \u201cHi, I need to buy a plane ticket from City A to City B.\u201d\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The Japanese travel agent hesitates for a moment and says \u201cPerhaps you would prefer to fly from City A to City C?\u201d<\/span><\/p>\n<p><span style=\"font-weight: 400;\">\u201cNo,\u201d says the American. \u201cCity A to City B, please\u201d.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">After more hesitation and staring at her computer screen, the travel agent says \u201cMaybe instead you would like to fly from City A to City D?\u201d, causing the tourist to get irritated.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">\u201cWhat\u2019s wrong with her?\u201d the tourist asks himself. \u201cI\u2019ve said twice that I want to fly from City A to City B and both times she suggests that I fly somewhere else. Her English seems fine so what\u2019s going on?\u201d\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Culture clashes happen<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">What\u2019s going on here is a collision on a culture map. In Japanese culture, it\u2019s not polite to directly tell someone they can\u2019t do something. <\/span><i><span style=\"font-weight: 400;\">There is no flight from City A to City B<\/span><\/i><span style=\"font-weight: 400;\">. That\u2019s what the travel agent was telling the tourist by repeatedly recommending that he fly somewhere else.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In American culture, it\u2019s normal to expect direct answers. Even if it\u2019s not what you wanted to hear. <\/span><i><span style=\"font-weight: 400;\">If there is no flight from City A to City B, then just tell me.\u00a0<\/span><\/i><\/p>\n<p><span style=\"font-weight: 400;\">Both people involved here are reacting in the way that\u2019s normal for them but, at the same time, their \u201cnormal\u201d is far from the expectations of the other person.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Now take this situation and multiply it by the scale of international commerce and the email communication that goes with it. You\u2019ll start to see just how helpful a <a href=\"https:\/\/i.gr-assets.com\/images\/S\/compressed.photo.goodreads.com\/hostedimages\/1613728248i\/30892584._SX540_.jpg\" target=\"_blank\" rel=\"noopener nofollow\">culture map<\/a> can be.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">What a culture map does\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">When your emails cross borders, they do more than enter a new country. They enter a new set of expectations, standards, norms, customs and ways of communicating. Even when you\u2019re speaking the same language. It\u2019s easy to step outside the accepted boundaries of the unspoken rules of what\u2019s ok and normal and what isn\u2019t.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Last year, we organized a number of presentations to help a range of people from different backgrounds who use cold email to get their message out, one conversation at a time.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Among them was a presentation by <\/span><a href=\"https:\/\/www.linkedin.com\/in\/emiliamosiewicz\/\" target=\"_blank\" rel=\"noopener nofollow\"><span style=\"font-weight: 400;\">Emilia Mosiewicz. <\/span><\/a><span style=\"font-weight: 400;\">\u00a0She is a corporate trainer who helps businesses deal with international barriers, who spoke on the topic of adjusting your communication to fit the norms and expectations of your target audience. Many of the concepts she discussed were borrowed from the book by Erin Meyer that put the subject in the spotlight for people around the world with a sales and marketing background, <\/span><span style=\"font-weight: 400;\">The Culture Map<\/span><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The main takeaway can be summarized like this:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">There are differences in cultural norms of communication from one culture to another<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">These differences have an impact on how people in those cultures respond to communication. Especially to messaging that goes outside of expected parameters<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We should make some kind of effort to tailor our communications sent to different cultures to avoid misunderstandings and create a comfort level that allows us to get our message across<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Failure to do this can mean you might be stuck asking about the plane from City A to City B all day while remaining clueless about why you\u2019re getting nowhere<\/span><\/li>\n<\/ul>\n<img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-22958 size-large\" src=\"https:\/\/woodpecker.co\/blog\/app\/uploads\/2023\/11\/Emilia_quote-1024x622.png\" alt=\"\" width=\"1024\" height=\"622\" srcset=\"https:\/\/woodpecker.co\/blog\/app\/uploads\/2023\/11\/Emilia_quote-1024x622.png 1024w, https:\/\/woodpecker.co\/blog\/app\/uploads\/2023\/11\/Emilia_quote-300x182.png 300w, https:\/\/woodpecker.co\/blog\/app\/uploads\/2023\/11\/Emilia_quote-768x467.png 768w, https:\/\/woodpecker.co\/blog\/app\/uploads\/2023\/11\/Emilia_quote.png 1152w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/>\n<p><span style=\"font-weight: 400;\">It\u2019s important to stress that we\u2019re talking about using an actual map here. Well, it\u2019s more like a chart than a map but, still, it\u2019s a visual representation of where a particular culture sits in relation to others based on two measures of their communication style.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Let\u2019s turn to what a culture map typically looks like.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Making your map\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">The main function of a culture map is to satisfy the need to put some thought into how your target audience compares to others based on a four-quadrant area that charts the position of different countries and cultures according to whatever metrics you want to use.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In the case of cold emailing and the relevant factors, we\u2019ll choose two measures \u2014 how emotionally expressive a culture is, charted above and below the horizontal axis and how confrontational a culture is, charted to the left and right of a vertical axis.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">So, for example, the lower-right quadrant would be populated with countries or cultures with subtle, nuanced communication and a lot of reading between the lines. <\/span><i><span style=\"font-weight: 400;\">\u201cMaybe you would prefer to fly to City C?\u201d<\/span><\/i><\/p>\n<p><span style=\"font-weight: 400;\">In the upper left, for example, you might have an American tourist and his frustrating attempts to get a reply to a simple request. You get the idea.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Yes, the placement of these countries is somewhat subjective but we can agree that there are some characteristics that define certain peoples and cultures when it comes to the way we communicate.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Using your map\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">When your map is fully populated with different people and cultures, the differences between them will become more clear. So will the <\/span><i><span style=\"font-weight: 400;\">distances<\/span><\/i><span style=\"font-weight: 400;\"> between them. The challenges of speaking clearly from one quadrant to another suddenly come into focus.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Are you speaking to someone who is probably in the same quadrant as you are? Only minimal changes might be necessary, or maybe none at all. One quadrant up, down, left or right? More substantial changes in your approach are probably needed. Moving diagonally up or down? Be careful because you\u2019re talking to people who approach conversations very differently than you do.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Even what look like small steps require careful consideration. You might think the content of your cold emails, for example, would be virtually identical when writing to an American or British audience. Just a few small spelling changes here and there, right? Finding the right tone, approach and choice of words might not be easy.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Still, there are some universal tips that work no matter what language barriers might be in the way. One of them is the use of calibrated questions.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In your cold email outreach, it\u2019s a good idea to stay away from closed questions with a simple yes-or-no answer. \u201cDo you have time to discuss this?\u201d, \u201cAre you using this approach in your sales now?\u201d, \u201cDoes your team use this tool?\u201d etc. all give the prospect the chance to answer with a simple yes or no and end the conversation. Then where do you go?\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Avoiding the yes-or-no trap is always a good idea but it\u2019s especially true when writing across cultures. Getting a conversation started is already hard enough without giving your email recipients the opportunity to slam the virtual door in your face with a one-word answer.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">That\u2019s where calibrated questions come in. Calibrated questions keep the conversation going, asking for information and inviting the other side to talk, not just answer a question. They usually begin with \u201cHow \u201c or \u201cWhat\u201d and set up the other side of the conversation to take over.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">\u201cHow are you dealing with rising prices in your supply chain?\u201d, \u201cHow do you plan to reach your sales goals?\u201d, \u201cWhat are the signs that your campaign will be successful?\u201d, \u201cHow are you going to increase production next year\u201d etc. These are examples of calibrated questions.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">\u201cHow\u201d can you make it easier to start conversations?\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">In your cold email outreach to other cultures, making it easier to engage using calibrated questions can help to overcome any problems you might have with cross-cultural language mistakes.
